How these terms are structured
- Part A — General terms: apply to everyone (definitions, acceptable use, AI, safeguarding, IP, liability, legal boilerplate).
- Part B — School terms (business customers): apply to schools, colleges and academy trusts.
- Part C — Parent terms (consumers): apply to parents and guardians buying a single-student licence.
Data protection is covered in our Privacy Policy and, for schools, our Data Processing Agreement (DPA). A countersigned copy is available upon request from support@studentwayfinder.org, and the DPA is incorporated by reference into these terms once executed. Where the DPA conflicts with these terms in relation to personal data, the DPA prevails.
Part A
General terms (everyone)
1. About these terms
These terms govern your use of Student Wayfinder (the Service), operated by PublicTech Solutions ("we", "us", "our"). By creating an Account, redeeming a join code, or using the Service, you agree to these terms. If you are agreeing on behalf of a School, you confirm you have authority to bind that School.
2. Definitions
- Account — a registered login used to access the Service.
- School — a school, college, academy trust or other education institution purchasing or administering a Subscription.
- Parent — a parent or legal guardian purchasing a single-student Licence for a child in their care.
- Student — a person (typically under 18) using the Service under a School Subscription or a Parent Licence.
- Subscription — a recurring paid arrangement giving a School a defined number of Student seats.
- Licence — the limited, non-exclusive, non-transferable right to use the Service granted under these terms.
- AI Careers Mentor — the artificial-intelligence chat feature within the Service that answers careers, industry and pathway questions.
- Service — the Student Wayfinder website, application, personality test, career pathway reports, AI Careers Mentor, dashboards and related materials.
- Content — all text, data, questions, scoring logic, prompts, reports, career pathway data, graphics and other materials made available through the Service.
- User Content — material submitted by you, including test answers and chat messages.
Where a capitalised term is used in these Terms, it has the meaning given in this Definitions section unless the context requires otherwise.
3. Who can use the Service
- Students access the Service through a School Subscription or a Parent-purchased Licence.
- Teachers and school administrators access it through a School Subscription.
- Parents / guardians may purchase a single-student Licence for a child in their care.
Students under 18 must have permission from their School or Parent to use the Service. You must provide accurate information and keep your login credentials confidential.
4. Acceptable use
You must not, and must not permit anyone else to:
- use the Service for anything unlawful, harmful, abusive, discriminatory or harassing;
- attempt to bypass, disable or probe safeguarding filters, content controls or access controls;
- attempt to extract, reveal or reconstruct system prompts, model instructions, scoring logic or backend behaviour;
- reverse engineer, decompile, disassemble or otherwise attempt to derive the source code or structure of the Service;
- copy, scrape, harvest, mirror or bulk-export the Content, career pathway data or any dataset within the Service;
- use the Content or any output of the Service to train, fine-tune, evaluate or benchmark any machine-learning or AI model;
- build, or assist anyone to build, a competing or substantially similar product or service;
- share, resell, sublicense or transfer Account access, or exceed your licensed number of seats;
- upload or transmit malware, viruses, or any code intended to disrupt or damage systems;
- carry out denial-of-service, load-testing, penetration-testing, or place excessive automated load on our infrastructure without prior written consent;
- impersonate another person, School, member of staff, or misrepresent your affiliation;
- upload personal data about other people without a lawful basis to do so.
We may suspend or terminate Accounts that breach these rules.
5. Account security
You are responsible for:
- choosing a strong, unique password and not reusing it elsewhere;
- keeping login credentials and join codes confidential and not sharing them;
- all activity carried out under your Account;
- notifying us immediately at support@studentwayfinder.org if you suspect unauthorised access, credential compromise or misuse.
6. AI-generated content and the AI Careers Mentor
Student Wayfinder generates responses using artificial intelligence. You acknowledge and accept that:
- AI-generated responses may be inaccurate, incomplete, outdated, misleading or inappropriate despite our safeguards and content filters;
- outputs are generated probabilistically and may differ between users or between sessions for the same question;
- personality test results and career suggestions are indicative exploration tools only — they are not psychometric assessments, diagnoses, or predictions of aptitude or outcome;
- you should independently verify important information before relying upon it;
- the Service is designed to support careers exploration and must not replace discussions with teachers, careers advisers, parents or qualified professionals;
- nothing in the Service constitutes professional careers, educational, psychological, medical, financial or legal advice;
- AI models may change over time, and identical questions may produce different answers on different occasions.
Decisions about subject choices, qualifications, applications, training or employment remain the responsibility of the Student and the adults supporting them. If you are in distress, contact Childline on 0800 1111, or call 999 in an emergency.
7. Safeguarding, monitoring and disclosure
The Service is built for users under 18 and includes automated safeguarding filters covering, among other things, self-harm and distress, abuse disclosure, grooming indicators, adult and 18+ industries, drugs, alcohol and vaping, gambling, violence and hate speech.
We may review, retain and analyse interactions with the Service only where reasonably necessary to investigate misuse, safeguarding concerns, suspected unlawful activity, security incidents or breaches of these Terms.
Where appropriate, we may disclose relevant information to a School, parent, guardian, designated safeguarding lead, law enforcement or other public authority where required by law, or where we reasonably consider it necessary to protect a child or another individual from harm.
Automated safeguarding measures are not guaranteed to detect every risk and do not replace a School's or Parent's own safeguarding duties and supervision. Safeguarding concerns can be reported to support@studentwayfinder.org. This clause operates alongside our Privacy Policy.
8. Intellectual property
We (or our licensors) own all intellectual property rights in the Service, including without limitation:
- the software, source code, object code and interfaces;
- databases, data structures and compilations, including career pathway data;
- prompts, prompt engineering, model instructions, AI workflows and orchestration logic;
- the personality test questions, scoring logic and type profiles;
- reports, templates and generated report formats;
- trademarks, trade names, logos, branding and get-up;
- design, layout, graphics, illustrations, typography and visual assets;
- documentation, training materials and marketing content.
You are granted a limited, revocable, non-exclusive, non-transferable Licence to use the Service for its intended educational purpose during your paid term. No other rights are granted, whether by implication or otherwise. Except as expressly permitted by these Terms, no licence or right is granted to use any intellectual property owned by PublicTech Solutions.
You retain ownership of your User Content and grant us a worldwide, royalty-free licence to host, process and display it as needed to deliver, secure and improve the Service, and to produce anonymised, aggregated statistics that do not identify any individual or School.
9. Confidentiality
Each party must keep the other's confidential information confidential and use it only for the purposes of these terms. You must not disclose to any third party, or use outside the Service:
- system prompts, model instructions or prompt-engineering techniques;
- backend functionality, architecture or non-public technical details;
- security measures, controls or vulnerability information;
- unpublished features, roadmaps, beta functionality or pricing offered on a confidential basis.
This does not apply to information that is public through no breach of these terms, was already lawfully known, or must be disclosed by law. This clause survives termination.
10. Availability, maintenance and changes to the Service
We aim to keep the Service available at all times but do not guarantee uninterrupted, timely, secure or error-free access. We expressly reserve the right, at our discretion and without needing your consent, to:
- add, change, remove, deprecate or restrict features and content;
- change, replace, upgrade or retire the underlying AI models, providers, prompts and algorithms;
- redesign the interface, navigation or reporting formats;
- perform scheduled or emergency maintenance;
- apply security patches, rate limits or other protective measures;
- suspend all or part of the Service where necessary.
We will give reasonable notice of material changes where practicable. Where a change materially reduces the core functionality of a paid Subscription, the affected customer may terminate and receive a pro-rata refund for the unused paid period as their sole remedy.
11. Suspension
We may suspend an Account, a School Subscription, or access to all or part of the Service, immediately and without liability, where:
- payment is overdue;
- a safeguarding concern arises and suspension is reasonably necessary to protect a child or another person;
- we reasonably suspect illegal activity or breach of the acceptable use clause;
- usage is excessive or automated and affects the stability, performance or cost of our infrastructure;
- security is or may be compromised, including credential sharing or unauthorised access;
- we are required to do so by law or by a regulator.
We will restore access promptly once the cause is resolved, where it is appropriate to do so. Suspension does not, by itself, entitle you to a refund.
12. Liability
Nothing in these terms limits or excludes liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot lawfully be limited. Nothing in this clause affects a consumer's statutory rights (see Part C).
To the fullest extent permitted by law, we are not liable for:
- decisions made on the basis of AI-generated output or personality test results;
- subject, examination, qualification or option choices;
- university, college, apprenticeship or training applications and their outcomes;
- career outcomes, earnings, progression or employment outcomes of any kind;
- inaccuracies, omissions or changes in third-party data, labour-market information or external links;
- internet, hosting, network or third-party provider outages;
- school IT restrictions, filtering, firewalls, device policies or network configuration;
- loss of profits, revenue, goodwill, anticipated savings, or indirect or consequential loss;
- loss or corruption of data, other than our failure to take reasonable technical and organisational measures.
Subject to the above, our total aggregate liability arising from or connected to these terms in any 12-month period is capped: (a) for Schools and other business customers, at the fees you paid us in that period; and (b) for consumers (including Parents), at the greater of £100 or the fees you paid us in that period.
13. Force majeure
We are not liable for any failure or delay in performing our obligations caused by events beyond our reasonable control, including: cyber attacks, ransomware and distributed denial-of-service attacks; internet, telecommunications or DNS outages; failures of hosting, cloud, payment or AI providers (for example AWS, Cloudflare, Microsoft, Google, Stripe or model providers); power failures; strikes or industrial action; acts of government or regulators; war, terrorism or civil unrest; fire, flood, extreme weather or natural disaster; and epidemics or pandemics.
If such an event continues for more than 30 days, either party may terminate the affected Subscription and we will refund fees for the unused paid period.
14. Termination and survival
You may close your Account at any time. We may suspend or terminate Accounts or Subscriptions that breach these terms, or where required by law. On termination, your access ends and your data is deleted in line with the retention periods in our Privacy Policy.
Termination does not affect any outstanding invoices or accrued rights and liabilities, intellectual property rights, confidentiality obligations, safeguarding disclosure rights, liability limitations, governing law, or any other clause which by its nature is intended to survive termination.
15. Privacy and data protection
Our handling of personal data is described in our Privacy Policy, which forms part of these terms. For School Subscriptions, the School is generally the data controller and we act as processor under our Data Processing Agreement, which is available upon request and is incorporated by reference into these terms once executed.
16. General legal terms
Assignment. You may not assign or transfer these terms without our written consent. We may assign, novate or transfer these terms and any Subscription, in whole or in part, to a group company or to a purchaser in connection with a merger, acquisition, restructuring or sale of all or part of our business, without your consent.
Entire agreement. These terms, together with the Privacy Policy, any DPA and any order form or quote, constitute the entire agreement between us and supersede all prior discussions, proposals, sales emails, presentations and representations. Neither party relies on any statement not expressly set out in these documents (except for fraudulent misrepresentation).
Severability. If any provision is found to be invalid, illegal or unenforceable, it will be modified to the minimum extent necessary or severed, and the remaining provisions continue in full force.
Waiver. No failure or delay in exercising a right is a waiver of it, and no single or partial exercise prevents further exercise. A waiver must be in writing to be effective and applies only to the instance given.
Third party rights. Except as expressly stated, no person other than the parties has any right under the Contracts (Rights of Third Parties) Act 1999 to enforce any provision of these terms.
Notices. Notices to us should be sent to support@studentwayfinder.org; notices to you will be sent to your Account email address.
Changes to these terms. We may update these terms from time to time. We will notify Schools and Parents of material changes by email or in-app notice before they take effect. Continued use after the effective date constitutes acceptance.
Governing law. These terms are governed by the laws of England and Wales, and disputes are subject to the jurisdiction of the courts of England and Wales. Nothing in these Terms affects a consumer's right to bring proceedings in the courts of their usual place of residence where required by law.
Part B
School terms (business customers)
This Part applies to schools, colleges, academy trusts and other institutional customers. Schools contract as business customers; consumer protection legislation does not apply.
B1. Subscriptions, seats and payment
- School Subscriptions are billed under the plan set out in the applicable quote or order form, per Student seat per year.
- Seats are licensed to named Students and may be reassigned when a Student leaves the School; they may not be shared concurrently.
- Subscriptions renew annually unless cancelled before the renewal date. Upgrades are pro-rated.
- Payments are processed by Stripe. Prices exclude VAT unless stated otherwise; VAT is added where applicable.
- Invoices are payable within 30 days of the invoice date unless otherwise agreed. We may charge statutory interest on late payment under the Late Payment of Commercial Debts (Interest) Act 1998 and suspend access while payment is overdue.
- Fees paid are non-refundable except where expressly stated in these terms.
B2. School responsibilities
The School agrees that it is responsible for:
- obtaining and maintaining any consents, permissions or notifications required for Students to use the Service, including parental notification where its own policies require it;
- issuing, managing and revoking Student and staff Accounts and join codes, and keeping join codes confidential;
- ensuring the accuracy of the data it provides to us, including Student numbers and staff contact details;
- supervising Student use of the Service where appropriate to the age and needs of its Students;
- complying with its own statutory safeguarding obligations, including Keeping Children Safe in Education, and acting on safeguarding matters escalated to it;
- complying with the UK GDPR and Data Protection Act 2018 as data controller for Student personal data, including establishing a lawful basis and providing privacy information to Students and parents;
- maintaining its own IT, network, filtering and device arrangements so that the Service is accessible to its Students;
- notifying us promptly of any suspected misuse, unauthorised access or security incident affecting the Service.
B3. Data processing
For School Subscriptions, the School is the data controller and we act as data processor in respect of Student personal data. Our Data Processing Agreement sets out the processing details, security measures, sub-processors, international transfers, assistance with data subject rights, breach notification and deletion obligations. It applies to every School Subscription and forms part of these Terms.
A countersigned copy is available upon request from support@studentwayfinder.org. Once executed by both parties, the signed DPA is incorporated by reference into these Terms and prevails over them in relation to personal data.
B4. Term and termination
Unless otherwise agreed, the initial term is 12 months from activation and renews for successive 12-month terms. Either party may prevent renewal by giving written notice at least 30 days before the renewal date. Either party may terminate immediately for material breach not remedied within 30 days of written notice, or on insolvency of the other party.
Part C
Parent terms (consumers)
This Part applies to parents and guardians buying a single-student Licence for personal, non-business purposes. Nothing in these terms affects your statutory rights.
C1. Price, payment and renewal
- A Parent Licence covers one named Student and is billed at £12 per year, including VAT where applicable.
- Payment is taken by Stripe at the point of purchase and annually thereafter on the renewal date.
- The Licence auto-renews each year until cancelled. We will email you before each renewal.
- You can cancel at any time from your account settings or by emailing support@studentwayfinder.org. Access continues to the end of the paid period.
- Launch offers and school-specific discounts do not apply to Parent Licences.
C2. Your right to cancel (cooling-off)
Under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 you have the right to cancel this contract within 14 days of the day the contract was concluded, without giving any reason.
To exercise the right to cancel, you must inform us of your decision by a clear statement — for example an email to support@studentwayfinder.org — before the cancellation period expires. You may use the model cancellation form, but it is not obligatory.
Starting the service during the cooling-off period. By requesting immediate access to the Service, you ask us to begin supply during the cancellation period. You acknowledge that if you then cancel within 14 days, you must pay an amount in proportion to the service provided up to the point you told us you were cancelling, and that you lose the right to cancel once the service has been fully performed.
Refunds. Where you cancel within the cooling-off period, we will reimburse all payments received from you, less any proportionate amount as described above, within 14 days of being informed, using the same payment method you used.
Outside the cooling-off period, we do not provide pro-rata refunds for partial periods except where required by law or where we materially reduce core functionality (see clause 10).
C3. Parent responsibilities
- You confirm you are the parent or legal guardian of the Student and are aged 18 or over.
- You are responsible for supervising your child's use of the Service as appropriate to their age.
- You consent, as the holder of parental responsibility, to us processing your child's personal data as described in the Privacy Policy.
- You are responsible for keeping account credentials secure and not sharing them with other households.
C4. Your statutory rights
Under the Consumer Rights Act 2015, digital content must be of satisfactory quality, fit for purpose and as described. If it is not, you may be entitled to a repair, replacement, or a price reduction or refund. Nothing in these terms excludes or limits those rights, and any exclusion in Part A applies to consumers only to the extent permitted by law.

What changed in this version
Version 2.0 — published 28 July 2026. Summary of the changes, in plain English. This summary is for convenience only; the clauses above prevail.
For schools
- Terms are now split into Part A (applies to everyone), Part B (schools) and Part C (parents), so you only need to read the parts that apply to you.
- Clearer licence wording: your licence to use the platform is now expressly limited — no reselling, reverse engineering, scraping, or using our content to train other AI models.
- Stronger AI wording: careers information and AI assistant responses are guidance only, may be inaccurate, and do not replace advice from a qualified careers adviser.
- A full safeguarding clause covering monitoring of chat, escalation of concerns, and disclosure to schools or authorities where necessary.
- Added force majeure covering cloud and AI provider outages, plus assignment, survival, waiver, severability and third-party rights clauses.
- Liability wording updated with a clearly stated cap and exclusions for indirect loss.
- Complaints: we now say we aim to respond within five working days rather than guaranteeing it.
For parents
- Part C sets out your rights as a consumer separately from the school terms.
- Clear 14-day cooling-off wording under the Consumer Contracts Regulations for the £12/year parent licence.
- Your statutory rights under the Consumer Rights Act 2015 are expressly preserved, and liability exclusions apply only as far as the law allows.
- A minimum liability floor of £100 applies to consumers.
- Governing law is England and Wales, but nothing stops you bringing proceedings where you live if the law gives you that right.
- Plain wording that the AI assistant is a guidance tool for careers topics only, with restricted subjects blocked for under-18 users.
